What your assistant can do

Once Caribooks is added to Claude, ChatGPT or Microsoft Copilot, your assistant can read your QuickBooks Online books, and change them on companies where you allow it. You ask in plain words, in English or French, and the assistant picks the tools.

Reading is always allowed. Changes need full access on the company, and deletes, voids and emails need your yes as well. See Access and confirmations.

Several companies

The assistant starts by listing your connected companies and their access levels with list_connected_companies. With several, it names the company on every request, so say which one you mean ("for Atelier Nord, ..."). A company turned Off under Billing stays on the list, marked as off, and cannot be used until you turn it back on.

Reports

The assistant runs QuickBooks' own reports for any period, cash or accrual, with columns by month, quarter, class, department, customer or vendor where the report allows it.

• Financial statements: profit and loss (summary and detail), balance sheet (standard, detail and summary), cash flow, trial balance, general ledger, journal report, account list.
• Sales and customers: sales by customer, by item, by class and by department, income by customer, customer balances (summary and detail), receivables aging (summary and detail), open invoices.
• Expenses and vendors: expenses by vendor, vendor balances (summary and detail), payables aging (summary and detail).
• Transactions: transaction list, by customer, by vendor and with splits, transaction detail by account.
• Tax and budget: the sales tax summary, one report per tax agency (GST/HST, QST and the like), and budget against actuals.
• Inventory: inventory valuation (summary and detail) and the physical inventory worksheet.

Search and read any record

The assistant can search and read every record type QuickBooks opens to apps: transactions (invoices, bills, expenses, payments, deposits, transfers, journal entries, estimates, purchase orders, receipts, credits), lists (customers, vendors, employees, items, accounts, classes, departments, terms), tax codes, rates and agencies, budgets, recurring transactions, attachments, company information and preferences.

A search returns one page of up to 1,000 records, cut shorter when it is too large for the answer, so narrow broad questions with a date range or a customer. The assistant can also list everything created, updated or deleted since a date, up to 30 days back.

Create, update, delete, void and send

With full access, the assistant can create and update most of these records. It can also:

• Delete transactions such as invoices, bills, expenses and journal entries, after you confirm. List entries (customers, vendors, items, accounts) cannot be deleted in QuickBooks; the assistant makes them inactive.
• Void an invoice, a payment, a sales receipt or a bill payment, after you confirm. The record keeps its number with its amounts set to zero.
• Send an invoice, estimate, credit memo, payment receipt, sales receipt, refund receipt or purchase order by email. The email waits in Approvals until you click to send it.

A payment, bill payment or transfer recorded through Caribooks moves no money, and Caribooks never processes a card.

Receipts and attachments

• find_expenses_without_attachments lists purchases and bills with no document attached, newest first. Charges you marked as having no receipt are left out.
• list_receipt_inbox lists the files in your Document box with the vendor, date, number and total read off each, and searches them.
• attach_file attaches an original file to a transaction: a file from the document box, or one you attached in the ChatGPT conversation. PDFs, images, spreadsheets, CSV and Word files up to 20 MB. If the transaction already has a document, it asks you before adding a second.
• attach_receipt turns receipt text, such as an email body, into a PDF marked as a transcription, only when you ask for one.
• discard_inbox_file removes a file from the document box, after you confirm.

Attaching needs full access.

Company rules

Rules say how your books are kept: "Uber goes to Travel", "this vendor bills monthly". They are part of Autopilot.

• remember_rule saves one on a company with Autopilot. It waits in Approvals and applies once you approve it.
• list_rules shows the active rules and the ones waiting.
• retire_rule retires an active rule.

Loops from the chat

Work that repeats can become a loop that Caribooks runs on a schedule, or when documents arrive. See Loops.

• create_task turns your sentence into a paused loop, in your language, and writes nothing to QuickBooks. Its start waits in Approvals, or you tell the assistant to start it.
• activate_loop starts a loop after you have read what it will do. Loops run on companies with Autopilot.
• list_loops and list_proposals show your loops and what they propose, did or failed to do. The assistant cannot approve anything: that stays a click in Approvals.

The address for Microsoft Copilot

Claude and ChatGPT use the full address, https://caribooks.com/api/mcp, where each operation on each record type is its own tool. Copilot Studio caps how many tools one server brings, so Copilot uses https://caribooks.com/api/mcp/compact: the same operations grouped into 23 tools, with the record type as a choice inside each one. Both addresses are under Settings → AI assistant. See Add Caribooks to your assistant.
