How Caribooks works

Caribooks connects QuickBooks Online to Claude, ChatGPT or Microsoft Copilot. You set it up in the portal and work in your assistant.

Caribooks connects your QuickBooks Online books to the AI assistant you already use: Claude, ChatGPT or Microsoft Copilot. You set it up once in the Caribooks portal. After that you mostly work in the assistant. You ask about your books in plain words, and it reads them, or changes them when you allow it.

The three parts

  • QuickBooks holds your books. Caribooks signs in to it through Intuit's own authorization and reads or writes through QuickBooks' API. Your books stay in QuickBooks.
  • Your assistant is where you work. Caribooks adds a connector to it with tools for reports, searches, and creating, updating or sending records.
  • The Caribooks portal (caribooks.com/portal) is where you connect companies, drop receipts, approve changes and manage your account.

Setting it up

The portal opens on Getting started until your assistant first reaches your books. It walks you through five steps:

  1. Read how it works.
  2. Connect your QuickBooks company. See Connect QuickBooks.
  3. Pick your assistant and add Caribooks to it. See Add Caribooks to your assistant.
  4. Ask your first question. The page updates by itself once your assistant opens your books.
  5. You're live. From then on the portal opens on Documents.

Before any of that you need a Caribooks account. See Account and sign-in.

What the assistant can do

Every company starts read-only: the assistant can run reports and look up records, but it cannot change anything. The account owner can switch on Full access for a company under Settings → Companies. The assistant can then create and update records too. Deleting or voiding a record still needs your explicit yes in the conversation, and an email to a customer waits in Approvals until you click to send it. The portal's pages

The portal's sidebar: Connector, Autopilot and Settings pages

The sidebar (the Menu button on a phone) groups the pages in three parts.

Connector

  • Getting started: the five setup steps.
  • Documents: your document box. Drop receipts, supplier invoices and statements here, or email them to the box's address. Your assistant finds them there and can attach them to their transactions in QuickBooks. See Document box.

Autopilot

  • Approvals: changes waiting for your OK, from Autopilot's loops and from emails your assistant was asked to send. See Approvals.
  • Loops: the recurring jobs Autopilot runs. See Loops.
  • Rules: what the loops follow for each company. See Rules.
  • Vendors: where each vendor's invoices come from, including the mailboxes you connect. See Vendors and mailboxes.
  • Expense claims: expenses employees paid themselves and claim back. See Expense claims.

Settings

  • Companies: connected QuickBooks companies and their access.
  • AI assistant: the buttons and addresses to add Caribooks to an assistant.
  • Email summary: how often Caribooks writes to you. See Email summary.
  • Team: colleagues who work in the account. See Team.
  • Billing: your plan, and what each company is on. See Plans and billing.
  • Referrals: your referral link. See Referrals.

With several companies connected, a Company selector sits at the top of the sidebar (at the top of the page on a phone). Pick one to see only its documents, approvals and loops, or All companies.

The Help button at the bottom right of every portal page sends a message to support. The answer comes by email.

Connector and Autopilot

Each company set to Off, Connector or Autopilot on the Billing page

Each connected company is on one of three settings, chosen under Billing:

  • Connector: your assistant works on the company's books when you ask it to.
  • Autopilot: the connector, plus work that runs on its own. Loops run on a schedule or when a document arrives, for jobs like attaching receipts. Autopilot starts by proposing: each change waits in Approvals until you approve it. See Autopilot.
  • Off: the company stays connected and costs nothing, but the assistant and the loops cannot use it. Its documents still arrive in the document box and wait.

The trial

The trial is 14 days, or 30 days if you signed up through someone's referral link. It starts when you connect your first QuickBooks company, not when you create your account. During the trial, everything is open: the connector and Autopilot on every company you connect. No card is needed and nothing is charged. If you subscribe before it ends, you keep the rest of it: Autopilot stays on every company until the trial's last day.

When the trial ends, QuickBooks access stops until you choose a plan under Billing. Your assistant then gets a message saying the trial has ended instead of an answer.

Ask your assistant

  • "Which invoices are overdue, and for how much?"
  • "What is my profit and loss this month, compared with last month?"
  • "Which expenses this month have no receipt attached?"
