Management report
One page per company for management: the month in three lines, the profit and loss compared, ten indicators, cash, overdue receivables and three questions for the owner.
Company: each of my connected companies Month: last month Language: English Prepare the management report for this company and month (one page per company if there are several). Pull from QuickBooks: the profit and loss for the month, the prior month and the same month last year; the profit and loss by month for the last 13 months; the balance sheet at month end and at the prior month end; aged receivables and aged payables at month end. Write one page per company: 1. The month in three lines. 2. Profit and loss: revenue, gross profit, expenses and net income, against the prior month and last year, with the change in dollars and in percent. 3. Ten indicators computed from QuickBooks' totals as they are: gross margin, net margin, revenue growth over a year, expense growth, cash at month end, months of cash at the average spending of the last three months, days to collect, days to pay, current ratio, receivables over 60 days. 4. Cash and receivables: the cash position, the five largest overdue invoices. 5. What moved: the three largest changes in revenue or expense lines, with the amounts. 6. Three questions for the owner. Use only figures from these reports, and tell me which report a figure comes from when I ask. Do not reclassify accounts. Change nothing in QuickBooks.

Month-end close
The review a bookkeeper does before closing a month: a checklist with the transactions behind each item, then the questions for the owner.
Company: each of my connected companies Month: last month Run the month-end close review for this month (one checklist per company if there are several). Check each item and mark it done, to do or not applicable, with the transactions behind it: 1. Transactions in uncategorized, "ask my accountant" or suspense accounts, and the month-end balance of opening balance equity. 2. Expenses dated in the month with no receipt attached, largest first. 3. Likely duplicates: same type, same vendor or customer, same amount, within seven days. 4. Unapplied payments and credits, and the undeposited funds balance with its oldest items. 5. Recurring transactions that should have created something this month and did not. 6. Journal entries dated in the month, with their memo. 7. Profit and loss lines that moved more than 20% and $500 against the prior month. 8. Transactions dated in the month but created or changed after month end. 9. Receivables and payables over 60 days. 10. Bank and credit card transactions in the month not yet reconciled. End with a numbered list of questions for the owner, each with the date, amount and name. Change nothing in QuickBooks unless I ask.

Payables run
What falls due against cash on hand, suspicious bills or bills with no document, then a payment batch proposed for approval.
Company: each of my connected companies Prepare this week's payables run (one per company if there are several). 1. Open bills due in the next 14 days and the next 30 days, by due date, with vendor, amount and bill number; overdue ones first. 2. The current balance of each bank account, and whether it covers what falls due. 3. Bills that look wrong: same vendor and amount as another within 30 days, round amounts, a vendor billed for the first time, an amount well above that vendor's usual. 4. Open bills with no document attached. 5. A proposed payment batch as a table: which bills, from which account, on which date. Record nothing until I approve the batch line by line. Recording a bill payment in QuickBooks moves no money: I still pay at the bank.
Recording the payments needs full access. On a read-only company the run stops at the proposed batch.

Missing receipts
Expenses with no receipt, matched to the files in your Caribooks document box, then the list of what is still missing, ready to send.
Company: each of my connected companies Month: last month Find the expenses from this month that have no receipt attached, largest first. For each one, look in my Caribooks document box for a matching file (same vendor, same amount, date within a few days) and propose attaching it. If my mailbox is connected in this conversation, search it for the receipt too. End with the list of what is still missing, with date, vendor and amount, that I can send to whoever paid. Attach nothing until I say yes to each one.
Attaching a receipt needs full access. Drop your receipts in the document box first, from the portal or by email.

Overdue invoices
Overdue customer invoices by customer, and a reminder email drafted for each one, which you read before sending it yourself.
Company: each of my connected companies List the invoices that are more than 30 days overdue, oldest first, with customer, invoice number, amount, due date and days late, then the total per customer. For each customer, draft a short, polite reminder email that names the invoices and amounts, in the customer's language. Send nothing: show me the drafts.
The drafts stay in the conversation; you send them from your own email.
