QuickBooks Online and AI: what connecting your books actually means

What it means to connect QuickBooks Online to an AI assistant: how MCP works, what changes in an ordinary week, what it costs, and where the real limits are.

Connecting QuickBooks Online to an AI assistant means one specific thing: the assistant can read your books while you are talking to it. You type "which invoices are overdue, and by how many days", it goes and looks in your company file. No export, no copy and paste, no industry averages dressed up as an answer.

MCP, without the jargon

MCP stands for Model Context Protocol. It is a plug standard, nothing more. Before it, getting an assistant to talk to a piece of software meant custom code for every pairing. With MCP, both sides speak the same language.

A connector is the piece in the middle. It holds the authorization you granted, turns the assistant's question into QuickBooks calls, and hands back the numbers. You install nothing on the accounting side: you authorize once, through the standard Intuit screen that every QuickBooks app uses.

Two things worth holding on to. MCP is not a product and nobody sells it to you, it is an open standard. What gets sold is the connector. And a connector does not copy your books somewhere else, it relays between QuickBooks and the assistant, one question at a time.

What changes in an ordinary week

The wins are small one at a time. It is the frequency that adds up.

  • "What changed in the books since Monday?" A running answer to that is exactly what the QuickBooks interface makes tedious to assemble.
  • "Show me profit and loss for last quarter against the same quarter last year."
  • "Which customers account for most of my receivables right now?"
  • "Pull the aged payables and tell me what is due in the next 14 days."
  • Drafting an invoice from an email thread, or categorizing a batch of expenses, once write access is on.

What does not change: bank reconciliation, tax remittances, year end. An assistant on your books replaces neither your bookkeeper nor your accountant. It shortens the trip between a question and a number.

On the assistant side: Claude works with a connector on every plan including Free. ChatGPT needs a paid plan (Plus, Pro or Business) and developer mode, on the web only. The comparison goes through the detail.

The limits, plainly

An assistant can be confidently wrong. That is the main risk and it has nothing to do with security. Start with five questions you already know the answer to. It is the fastest way to calibrate how much to trust the numbers, and to catch a company file that is connected but not the one you meant.

Unreconciled books produce answers that are wrong and well written, which is worse than no answer. A connector does not repair your bookkeeping, it exposes it.

And all of this is QuickBooks Online. QuickBooks Desktop does not expose the API any of it depends on. That is not a matter of waiting.

The risks, and what to do about them

Access. With Caribooks, every connection starts read-only. Write access is enabled per company, by you, from the portal. Sending a document by email, voiding, and deleting each need an explicit confirmation in the conversation on top of that. Leave the file read-only for the first week.

What is kept. Caribooks stores no accounting data. Three things only: the account email, the company names, and the QuickBooks access tokens, AES-256 encrypted and hosted in Canada in the AWS Montréal region. The token is a key issued by Intuit, never a password, and you can revoke it at any time. The security page has the detail.

Model training. Anthropic excludes MCP connector content from training on every plan including Free, regardless of settings. On ChatGPT, Business, Enterprise and Edu accounts are excluded. On a personal account, turn off "Improve the model for everyone" under Settings, Data Controls.

When to connect nothing at all

If you look at your numbers once a quarter and the question fits inside a profit and loss, the QuickBooks reports screen is free and faster than a conversation. If your books are three months behind, catch up first and connect after. And if you have one company file and a terminal does not scare you, Intuit's open-source server does the job for nothing.
