Using a QuickBooks MCP with ChatGPT

It works, on a paid plan, in developer mode, on the web only. Claude is the easier path today. Here is the honest comparison and the setup constraints.

You can connect a QuickBooks MCP server to ChatGPT, and the requirements are not small: a paid plan (Plus, Pro or Business), developer mode turned on, and the web version. No mobile, no free tier. The same connector runs on Claude on every plan including Free, on web and on phone, with nothing to enable first.

So if you get to pick the assistant, pick Claude for this. This guide is for people who do not get to pick.

What you need on the ChatGPT side

  • A paid plan. Plus, Pro or Business. Custom MCP connectors are not available on the free tier.
  • Developer mode. ChatGPT treats adding a connector by URL as a developer feature, so there is a setting to turn on before the option appears at all.
  • The web app. Browser only. The desktop and mobile apps are out for this.
  • The connector URL, which the Caribooks portal gives you once a company is authorized.

Nothing there is risky, but the flow is rougher than Claude's, where the portal hands you a prefilled install link and you click Add. Budget more like ten minutes than two, most of it spent finding the setting.

If you are on a Business workspace, check whether you can turn developer mode on yourself before you promise anyone a demo. That is an administrator question, not a Caribooks one.

What works exactly the same

It is the same server on both sides, so the capability does not change: 209 tools, 35 reports, the whole general ledger in both directions. Balance sheet, trial balance, aged receivables and payables, general ledger, journal entries, vendors and bills all behave identically.

The safety model does not change either. Every connection starts read-only. Writes are enabled per company, by you, from the portal. Sending a document by email, voiding and deleting each require an explicit confirmation in the conversation, no matter which assistant is asking.

And it answers in French or English on both.

What does not work the same

No phone. This is the one people miss. Half the value of a hosted connector is asking about an overdue invoice from a parking lot. On ChatGPT that is not on the table today.

The free tier is gone. Add the cost of a ChatGPT plan to the cost of the connector before you decide. If the only reason you would upgrade is to read your books, do not upgrade. Use Claude, where it is free.

Tool approvals live somewhere else. Each assistant handles per-tool permission its own way. On Claude you set "Always allow" once, on the connector, and are never asked again. Expect to hunt for the equivalent in ChatGPT rather than assuming it sits in the same place.

Training, which is the part worth reading twice

Anthropic excludes MCP connector content from model training on every plan including Free, regardless of your settings. There is nothing to configure.

OpenAI is not the same. Business, Enterprise and Edu accounts are excluded. On a personal ChatGPT account you have to turn it off yourself: Settings, then Data Controls, then switch off "Improve the model for everyone". Do that before you connect a real company file, not after. More detail on what is and is not stored is on the security page.

Where this is the wrong choice

You are on ChatGPT Free, or you work from your phone. Do not buy a plan for this. Connect the same books to Claude instead, on the free plan, and keep the money.

You only need a profit and loss and the ability to send invoices, and your company is not Canadian. Intuit's own connector inside Claude covers that, free with your QuickBooks subscription. It is one click and it will do the job.

Your firm mandates ChatGPT and forbids third-party connectors. Then the answer is no connector at all. Export the report from QuickBooks and paste it in. You lose live data and write access, you keep the analysis, and nobody has to sign off on a data processor.

You are on QuickBooks Desktop. No MCP server can reach Desktop, on any assistant. That one has nothing to do with ChatGPT.
